Purpose of this Privacy Policy
We at Bikolinah Logistics recognize the importance of protecting your personally identifiable information PII (such as your name, telephone number, e-mail address and other contact information, collectively, PII) that you provide to Bikolinah Logistics. This Privacy Policy sets forth our policies regarding the collection, use and disclosure of your PII both through our online and offline operations. This Privacy Policy also explains how you can correct or change the PII we hold about you, or opt out of receiving certain marketing materials. The purpose of this Privacy Policy is to tell you how Bikolinah Logistics strives to better serve you by keeping you informed of promotions, products and services, while, at the same time, safeguarding your PII. Our intention is to bring you offers and discounts that we believe are relevant to your interests offered by and through Cendant business units, affiliates, and other non-affiliated companies with whom we have business relationships. What Personally Identifiable Information Bikolinah Logistics Collects and How it is Collected

When you make a reservation, rent a vehicle and/or join one of Bikolinah Logistics programs, we need to collect certain information about you in order to provide and improve our services. The service that you chose will determine what information we collect from you. This information may include, but is not limited to:
  • Name;
  • E-mail address;
  • Home and/or business address;
  • Telephone numbers at which we can contact you;
  • Your date of birth;
  • Method of payments (credit card and expiration date); and
  • Driver’s license and province/country of issuance.
When you rent a vehicle or we provide currier services for you, we will also record information that details your rental (e.g. where you rented the vehicle, where and when you returned the vehicle, payment arrangements, cover preferences, gas consumption, mileage and other information related to the vehicle). We may also need certain information from you when you request any of the following services or equipment:
  • BKL Needs/Optional Equipment
  • BKL Offers/Discounts;
  • Partner Member Numbers;
  • Use of a Bikolinah Logistics Discount Number and other car preferences. For example, if you wish to use a discount that Bikolinah Logistics provides to members of an association/affiliate to which you belong, we may collect information about your membership to verify and provide you with the correct discount for our services.
How we collect this information will depend on how you use our services. We may collect this information directly from you by telephone, e-mail, at the counter, upon completion of an application or enrollment form, or through your use of our Site or the Internet. To the extent you use our Site, we may also collect information about your use of our Site, transactions and account information, e-mail and other information related to communications to our Site. We may also collect information about you indirectly through a travel agent, an account program in which you or your employer participates, or through one of our partner programs when you deal with us through those means. Additionally, our affiliates and third parties may provide us with information about you. You may choose not to provide some of your PII to us, but this may prevent us from providing our services to you, or limit our ability to provide you with the level of service that you would otherwise expect from us.

How Personally Identifiable Information is Used and Disclosed by Bikolinah Logistics Usage

  • We strive to provide you with a stress-free rental experience and are dedicated to building a rewarding and lasting relationship with every customer. In order to provide you with the optimum level of service, we may use your PII for the following purposes:
    1. To provide the services and offerings that you request, and to communicate with you regarding such services and offerings;
    2. To do all things necessary to administer those services;
    3. To research, develop, manage, protect and improve our Site and services;
    4. To maintain and develop our service-oriented software and other business systems;
    5. To analyze data, or to have a third party do so on our behalf.
We also use your PII information, or some discrete part, such as your e-mail address for other purposes. For example, such information may be used to process and track your transactions, or send you information about us and our affiliates and business partners’ products and services, and other information and materials that may be of interest to you.   • One of our program partners (e.g. if you are a member of a frequent traveler program and you have asked us to send details of your rental agreement with us to obtain your benefits from that program);
  • Entities that provide services on our behalf;
  • Your credit card issuer;
  • Credit reporting and fraud checking agencies;
  • Debt collection agencies, if you fail to pay monies owed to us;
  • Government or private organizations responsible for the processing or handling of traffic or parking related violations;
  • Driver licensing authorities, directly or through intermediary organizations, when needed to verify compliance with Bikolinah Logistics safe driver criteria for qualified drivers and/or to verify license information; and
  • Government, regulatory and law enforcement agencies where the disclosure is required or authorized by law, and otherwise as we believe is necessary or appropriate to satisfy any law, regulation or other governmental request, to operate our Site properly. Or, to protect or defend our rights or the rights or well-being of our employees, users or others, or if you are involved (or are suspected by governmental authorities or our security functions to be involved) in any illegal activity, even without a subpoena, warrant or court order.

We may also disclose your information to our affiliates and non-affiliated business partners for their use, both on our behalf and for their own business purposes. For example, our affiliates and business partners may use such information to send you information about their products and services, and other information and materials that may be of interest to you. You may opt-out of us disclosing your PII for these purposes through one of the methods described in this policy.

We may also share your information with other non-affiliated third parties, such as entities that provide services for, or through, our Site or for our business (e.g., advertisers, ad servers, content providers, services providers, credit card processors, fulfillment services providers, e-mail list hosting companies and distribution companies) that use such information on our behalf consistent with this Privacy Policy

Bikolinah Logistics does not control the use of this information or access to the information by the licensee and its associates. The licensee is the merchant who collects and processes credit card information and receives payment for the car rental services. The licensee is subject to the merchant rules of the credit card processors it selects which establish its card security rules and procedures. This policy does not apply to a licensee’s web site. Licensees may also use email campaigns and other methods of telephonic, electronic, and direct mail solicitation without our consent or knowledge, and are solely responsible for their content and methods of identifying and contacting addressees.

If you use our Site, certain PII may be collected in the course of your use of our Site. How We Protect the Security of Personally Identifiable Information

The security of your PII is an important concern to us. We exercise reasonable care in implementing generally accepted standards of technology security in order to protect information collected via our Site. You can opt-out of our use and disclosure of your PII for marketing purposes and customer satisfaction surveys, and/or withdraw your prior consent for some by the methods provided below. If you do so, your consent will be withdrawn, however, it is possible that you may receive correspondence scheduled prior to our receipt and processing of your opt-out request.     This Privacy Policy shall be governed by the laws of Zambia, without regard to conflict of law principals. By providing any PII to us, you fully understand and unambiguously consent to the transfer of such PII to, and the collection and processing of such PII in, Zambia and other countries or territories. You agree that any cause of action that may arise under this Privacy Policy shall be commenced and be heard in the appropriate court in Zambia. You agree to submit to the personal and exclusive jurisdiction of the courts located within Zambia.

    2. For what purposes does BKL collect your personal data?

    BKL processes personal data that you voluntarily provide to BKL through this website for the following purposes:

    1. Your registration as BKL member, creation of your account and providing you with a BKL ID.
    2. This processing is necessary to identify you and to prepare and facilitate your future booking / rental agreements with BKL. 
    3. Your booking:
      • to confirm and guarantee your booking; 
      • to modify or cancel your booking;
      • to exchange with you in relation to your booking (e.g. to provide you with information on your booking, to send you reminder notice before your check-in / check-out, to respond to your questions or suggestions);
      • to manage your invoices if you BKL to pay in advance, and handle any arrears; 
      • to manage potential claims
    4. This processing is necessary for the management of your booking and the preparation of the rental agreement concluded with an entity of Bikolinah Logistics group or network. 

    5. If you BKL to pay in advance, your payment for BKL products / services.

      This processing is necessary for the performance of the purchase of BKL products / services. For your full information, BKL can only retain your credit card information, subject to your express consent in order to facilitate future payments.

    7. The improvement of Bikolinah Logistics products / services on the basis of customer surveys you have completed. 

      This processing, aiming at having a better understanding of BKL members' needs and offering you customized functions to enhance your experience of Bikolinah Logistics products / services, is based on BKL "legitimate interest".

    9. The operation of BKL live web chat to provide you with preliminary online assistance. 

      This processing, aiming at creating more proximity and establishing a closer relationship with you by notably answering more quickly your queries, is based on BKL "legitimate interest".

    11. Promotional and marketing activities, namely:
      1. the sending of email and SMS notifications for BKL promotions / deals; 
      2. the recording of your rental history to suggest you preferred products / services when looking for new booking / rentals;
      3. the recording of your rental history:
        • to send you commercial messages,
        • to send you special BKL offers; and/or 
        • to make you benefiting from BKL advantages; 

        depending on the volume, amounts, frequency of your orders, duration of your rentals and your activity on our website (e.g., number of visits);

      4. the sending of emails about a booking you did not complete or send you a summary about a booking inquiry;
      5. the management of your loyalty program and membership card;
      6. the organization of promotional contests / sweepstakes;
      7. the management and update of Bikolinah Logistics customers / prospects database
      8. the publication of your ratings on Bikolinah Logistics products / services.

      Direct marketing processing activities (prospection direct), i.e. any commercial message from BKL aiming at promoting Bikolinah Logistics products / services, are subject to your express consent.


      By exception, if you are already a BKL existing customer and that the message concerns products / services similar to those you have already purchased, the underlying processing aiming at promoting these products / services will not be based on your consent but on BKL "legitimate interest".


      In addition, BKL also uses third party websites like social networks to display targeted advertising to which you might be exposed when visiting these third-party websites.

      These advertising are displayed by and are under the control of the third party operating the relevant website. Furthermore, BKL will have no direct access to your personal information.       • to transfer to the republic of Zambia Government the identity of the driver (or potential driver);
      • to satisfy fines collection procedure to which BKL may be subject

      Claims on social networks and protecting Bikolinah Logistics’ reputation 

    15. The management and update of a watch list of customers presenting certain contractual risks based on:     
      1. payment incidents which have given rise to legal proceedings;
      2. vehicle accidents or repeated damages caused by Bikolinah Logistics customers
      3. accidents or damages caused voluntarily by Bikolinah Logistics customer;
      4. use of Bikolinah Logistics vehicles in breach of the general terms and conditions for rental of vehicles.
    16. This processing, aiming at reducing Bikolinah Logistics entities risks exposure in the performance of the rental agreements, is based on BKL "legitimate interest" as head of Bikolinah Logistics group / network. Should you appear on BKL watch list, your booking / rental request will be rejected. As the case may be, you will be entitled to contest such to BKL by contacting BKL or the local Bikolinah Logistics entity.


      For your full information, BKL carries out certain processing of your personal information through "cookies" and other tracers collected every time you visit BKL website. These processing are governed by BKL Cookies Policy, which we encourage you to review. You can accept or reject these cookies and other tracers by following the instructions provided in BKL Cookies Policy.


    3 Who are the data BKL recipients of the personal information we collect about you?

    3.1 Categories of BKL recipients


    Your personal data will be disclosed, as necessary / relevant, to: 

    1. to the authorized personnel of BKL and of entities of the same group, entities of BKL franchise network and agent / sales intermediary appointed by BKL, for the purposes described in this privacy policy;
    2. third party IT service providers for technical purposes in order to help BKL in providing you with access to this website and to Bikolinah Logistics products / services
    3. regarding the information processed for the payment of fines, to the
    4. regarding the information processed for the purpose of the management and update of a watch list of customers presenting certain contractual risks to the vehicle rental agencies branch of the Vehicle hire contracts to the benefit of their members; 
    5. marketing agencies for the preparation and conduct of marketing campaigns; 
    6. external consultants for various missions in the course of BKL business activities. 

      BKL can also disclose your personal data to the extent required by law and/or by competent authorities.

    3.2 International transfers

    As necessary to provide you with BKL services, BKL will, to the extent necessary for the purposes set forth herein, transfer your personal data outside Zambia to the above mentioned third parties.


    Depending on the case, certain BKL recipients may be located in countries which have been recognized by the AU or SADC as ensuring an adequate level of data protection or in countries which has not been recognized as ensuring such a level of protection. In any case, BKL has put in place appropriate safeguards to protect your personal data, in compliance with the SADC and AU regulations


    4. For what period will BKL retain your personal data?

    Your personal data are retained for different period, depending on the purposes of the processing:

However, payment card information (excluding the visual cryptogram): that may evidence a payment (i.e. card number and date of validity) is subject to an intermediate archiving policy for a period of time of 13 months after the effective payment for a credit card and 15 months for a deferred debit card, to be used only if the transaction is disputed; can be retained for a longer period, subject to your express consent to facilitate future payments. In any case, when the payment card is expired, related information will be deleted.
    Promotional and marketing activitiesFor BKL customers, 3 years as from the end of the relationship with BKL. For prospects – who are not Bikolinah Logistics customers – 3 years as from the collection of your personal information OR as from the last request for information you made.

    have been proceeded by BKL.

You will be able to change your password, secret question, update or correct phone number, address, email, and driving license information and update your car rental and travel preferences including insurance, means of payment and frequent traveler membership.
